This is a guide for using the Task Manager feature. 


Task Manager is a simple job allocation tool that gives users access to powerful sign-on-glass and proof-of-delivery functionality. Businesses are able to manage jobs and runsheets electronically while seeing almost an instant return on investment. Through our easy-to-use online platform, you are able to create runsheets filled with jobs and items to pick up or deliver, followed by allocating them to vehicles within your fleet. Task Manager also allows you to upload a formatted Excel spreadsheet to build a manifest. Through the iFace, the driver is able to receive runsheets and complete jobs. The application captures arrival and departure times, quanitities, product codes & descriptions, signatures, photos and more. 

With information available to the back-office in real-time, you are able to gain insight into the current progress of all jobs being completed by your drivers. Along with a number of reports, you gain visibility into performance, track exceptions, understand non-deliveries, and improve your efficiency.

How to use

  1. In NextGen, click on Task Manager on the left-hand side of the screen


2. Task Manager will open. Press "+ Add New Runsheet" up the top right 


3. Up the top, enter in the Runsheet ID, Name and Scheduled date, as well as the related vehicle (if required). On the right-hand side of the screen, fill in the fields under Job Form. If Address is chosen as the Location Type, more fields will appear to fill in the address details. 

Once one job is created, more jobs can be added to the same runsheet by clicking on the blue "+ Add New Job" button 


4. Specific Items can be added using the Item Form

Once added, they will appear in the Items field on the left. 


5. After you have filled in all of the relevant fields, click on Create Runsheet down the bottom, and you will be ready to go 


Once the runsheet has been created, you can view your active runsheets in your Task Manager home screen. From here you can perform a number of actions on the sheet: View, Edit, Allocate, Copy and Delete.

FAQs 

What is Task Manager and who is it for?Task Manager is a simple Task or Job allocation tool that brings sign-on-glass and proof-of-delivery functionality to small to mid-size business that can’t justify the expense of implementing a fully featured freight or job management system. It provides the ability to create jobs and assign to vehicles as soon as you get the call from a customer, or build runs in Excel and upload them to Task Manager. Drivers will receive the jobs on the iFace and capture arrival time, time spent on site, photos and signatures and any non-delivery reasons. All information is available to view in NextGen in real time. 
What’s the difference between Quickjobs, Task Manager and Smartjobs?
  • Quickjobs is a driver initiated job and demurrage tracking tool. It can be used as an assistant to a paper based system but cannot send jobs to drivers or get POD (photos or sign on glass).
  • Task Manager has a scheduling and allocation component but does not integrate with a Freight Management System (FMS) or Transport Management System (TMS). You can upload jobs from an excel spreadsheet or enter them directly into Task manager. POD is available as part of the driver workflow. Standard or off-the-shelf driver workflows are used (one initially but more to come).
  • Smartjobs is a customised driver workflow that is integrated with a third party FMS or TMS. Planned vs Actual views are available in NextGen where FMS/TMS data is combined with vehicle, driver and location data to give an integrated view.
Can I run it on an Android phone, iPhone or iPad?No, it is only available on the iFace for now. App Store version to come, no ETA.
Which products do I need to run Task Manager?You currently will require the iFace, Task Manager application and access to NextGen.
Does it integrate with Sentinel?Currently jobs or tasks can only be allocated to vehicles. Future enhancements will allow allocation of jobs or tasks to drivers and integration with Sentinel will take place at this time.
Does it integrate to a third party systems?No. There are reports available that can be uploaded into third party systems but currently there is no direct integration between Task Manager and third party systems. However, Professional Services are available, please contact for more detail.
Does it integrate with billing/accounting systems like MYOB and Xero?Not currently. There are reports available that may be uploaded into accounting systems but there is currently no direct integration between Task Manager and billing/accounting systems. Future enhancements may include integration with billing systems if there is demand from customers for this.
Does it do job rating/pricing?No, job rating is a complex subject and beyond the scope of Task Manager.
Does it do route optimisation and navigation?No, route optimisation is not currently available. In the future we intend on offering route optimisation and navigation via the iFace.
Does it do POD (Proof of Delivery)?Yes, Proof of Delivery (POD) is available via photos with driver recorded comments and sign on glass.
Can it be customised?No, Task manager is not a customisable solution. The product will grow and improve over time on the basis of customer requests, but for a customised experience we have SmartJobs.
Does it do barcoding?No, barcoding is not currently available but could form part of a future update if the demand is there from customers.
Can I get higher resolution photos?Yes, higher resolution photos are available with the purchase of Data Packs to support the increased data used.
